Agency Reporting: How to Report to Many Clients Without Burning Out

Agency reporting is the job of showing many clients, every month, what you did and what changed. It stays calm when you use one template, send reports on the same days, split the work into collecting and writing, and add a longer review every quarter. This guide shows a simple setup for an agency or freelancer with five to fifty clients, with a time budget and a quarterly report structure.

An agency reporting calendar: crawls on the first week, reports in the second, calls in the third, and a quarterly review every three months
A calm reporting rhythm for many clients (illustration).

It is written by the maker of SEOSage, an SEO audit app with scheduled crawls and branded client reports. The setup works with any tools.

TL;DR

  • Use one template for every client, so clients learn where to look and you never start from a blank page.
  • Run a monthly rhythm: crawl all sites in week 1, write and send in week 2, hold calls in week 3.
  • Add a quarterly review with targets, plans and a stop-doing list.
  • Let tools collect the numbers, and spend your time on the summary and the explanation.
  • Name an owner and a reviewer for every client report, and keep a time budget per client.

Why use one template for every client? #

A single template saves time and builds trust. The client sees the same layout every month and knows where the numbers are. You see the same layout across clients, so a mistake stands out. Change the logo, the numbers and the notes, and leave the structure alone. Our free monthly SEO report template is a two-page, six-section layout you can use as that template, and the website audit report template works for new clients.

What is a good monthly rhythm? #

A monthly rhythm for agency reporting: crawl all sites, write the summaries, send the reports, hold the calls, then plan the next month
A monthly rhythm (illustration).
When What happens Why batch it
Week 1 Crawl every client site and export the Search Console numbers The tools do the work while you do something else
Week 2 Write the summary for each client and send the reports Writing is faster when you do it in one block
Week 3 Hold the client calls Clients have read the report by now
Week 4 Plan next month’s work for each client The plan comes from the calls

The days are a suggestion. What matters is that clients know when to expect the report. See what to automate in SEO reports for the collecting part.

What kinds of report does an agency need? #

Three levels of agency report: a one-page monthly report for most clients, a quarterly review with plans and targets, and an on-demand audit report for new work
Three levels of report (illustration).
  • Monthly report. Two pages, for every client, from the template above.
  • Quarterly review. A longer look every three months, covered below.
  • Audit report. For a new client or a big change, such as a site move. It explains the state of the site and a fix plan.

What goes in a quarterly SEO report? #

  1. Three-month trend. Clicks, health score and enquiries across the quarter, with the same quarter last year if the business has seasons.
  2. What worked. The two or three changes that moved something, with evidence.
  3. What did not. Honest, and with what you learned.
  4. Targets for next quarter. Specific, and agreed with the client. See SEO KPIs for the numbers to choose from.
  5. The plan. The three biggest items, in order.
  6. A stop-doing list. Work that is not paying back and should end.

Hold the quarterly review as a call, with the document as a guide. It is also the best time to talk about the next phase or a change of scope.

How much time should reporting take? #

Set a time budget per client, and track it for a few months. A useful split is collecting, writing and talking:

  • Collecting should be mostly automatic: scheduled crawls, a saved comparison, exported numbers.
  • Writing is the part that needs you: the summary, the explanation of changes and the plan.
  • Talking is a short call, and the one that clients value most.

If reporting takes longer than you can bill for, simplify the template, not the quality of the explanation. The usual fix is fewer numbers, not less thought.

Who does what? #

  • Owner: one person per client who writes the report and runs the call.
  • Reviewer: a second person who reads the report before it is sent, and checks the numbers.
  • Template keeper: one person who changes the template, so it never forks.

A freelancer plays all three roles, so leave a day between writing and sending, and read the report once more as the client would.

What about white label reports? #

If you resell SEO work under your own brand, or work for other agencies, every report needs your logo or theirs. Use exports that carry the brand, and check each one before it goes out. See what white label SEO is and white label SEO audit reports.

How does SEOSage help with agency reporting? #

SEOSage is a desktop SEO audit app for Mac and Windows that crawls on your own computer with no page limit, so many client sites are not a cost problem. It can crawl each site on a schedule while the app is open, saves every crawl, compares any two and exports a branded PDF, PowerPoint, Excel or CSV report with your logo on every plan. Plans start at $9 a month, and the free trial lasts 14 days. It does not write the summary or email the reports, so those steps stay with you.

Common mistakes in agency reporting #

  • A custom report for every client. It does not scale.
  • Reporting on random days. Clients lose trust when reports are late or irregular.
  • Sending the tool’s output as the report. Clients pay for the explanation.
  • No review step. One wrong number damages the relationship.
  • No quarterly step back. Monthly reports can hide a drifting strategy.

Summary #

Agency reporting stays calm with one template, a monthly rhythm, a quarterly review and clear roles. Let tools collect the numbers and spend your time on the summary and the plan. Budget time per client, and review every report before it goes out.
